What we hold, and why.

Short, because there is not much to say. We hold email addresses to send a newsletter and work contact details to talk to venues. That is the whole of it.

Who we are

TheatreOps Insights is run by Steven Rolfe, trading as TheatreOps Insights, in the United Kingdom. For anything in this notice, including a request to see or delete what we hold, write to hello@theatreops.co.uk. A person answers it.

Venue trading data is covered separately

The monthly figures we read from participating venues are commercial data about an organisation, not personal data about a person. They contain no customer, card, ticketing or staff information. That side of things is explained in full, including how to opt out, on how your venue data is used.

Newsletter subscribers

If you subscribe to TheatreOps Monthly we hold your email address, anything else you chose to give us at signup, and the engagement record our email platform keeps, such as whether an edition was opened.

  • Why: to send you the newsletter.
  • Lawful basis: consent, given when you subscribed. Every edition carries a one click unsubscribe, and withdrawing is immediate.
  • Who processes it: beehiiv, our email platform, which is based in the United States and processes the list on our instructions under its own data processing terms.
  • How long: for as long as you are subscribed. We review the list once a year and remove addresses that have not opened an edition in twelve months.

We do not sell or rent the list, and we do not pass addresses to other organisations.

Venue and industry contacts

We hold work contact details for people at theatres, arts organisations, ticketing platforms and partner businesses: name, job title, work email address, and the organisation they work for.

  • Why: to tell venues their data is part of the benchmark, to answer their questions, and to discuss the service with people who work in the sector.
  • Lawful basis: legitimate interests. We are writing to people in a professional capacity about data from their own organisation, which is something they would reasonably expect.
  • Where it comes from: from you directly, from the records of the POS platform your venue uses, or from publicly available sources such as your organisation's website.
  • How long: while the relationship is live, and then for two years, unless you ask us to remove it sooner.

Every email we send identifies TheatreOps and offers a way to stop hearing from us. Ask once and we will not contact you again.

This website

The site sets no cookies, runs no analytics, and has no tracking pixels, so there is no cookie banner to dismiss. It is a set of static pages.

Everything on the site, including the typeface, is served by our web host, Netlify, so your browser makes no requests to Google or any other third party. The one exception is the newsletter signup form, which is provided by beehiiv: the form loads from beehiiv, and submitting it sends your details to beehiiv rather than to us directly. That is noted here rather than buried.

Your rights

You can ask us to show you what we hold about you, correct it, delete it, or stop using it. You can also object to our use of legitimate interests as a basis, and withdraw consent for the newsletter at any time. Email hello@theatreops.co.uk and we will deal with it within a month, usually much sooner.

If you are not happy with how we have handled something, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint. We would rather you told us first so we can fix it.

Changes to this notice

If this notice changes in a way that affects you, the date at the top changes and subscribers are told in the next edition.
